F.2. Consider Monthly Expenditures for March 2023
Description:
The monthly expenditures is presented for the Board of Trustee review in the Revenue and Expenditures Report and the Check Register in the Financial Update Section.

F.3. Consider Approval of Amended Budgets
Description:
Administration recommends amending the General Fund budget for the following:
Increase Communications advertising budget $50,000. Using payroll budget for positions not filled. Reallocate BMS budget between functions for travel and supplies. Transfers are between functions and have no effect on Fund Balance. |
F.4. Consider Approval of Vendor to Purchase Air Filters for Districtwide Use
Description:
The District requested quotes to replenish our supply of air filters to be used in the HVAC systems throughout the district. Purchasing a large quantity of air filters to have on hand assures that we are able to replace air filters on a regular schedule and also allows the district to receive better pricing.
The quote from Tex-Air Filters provides the best value to the district. The total cost to replenish our supply of air filters is $33,175. This expense is included in the current amended budget.

F.5. Consider Ratification of Vendor for Child Nutrition Vehicle
Description:
At the September 2022 School Board meeting, the Board approved the purchase of 5 new vehicles for Operations and Child Nutrition at a combined cost not to exceed $206,765. The purchase of a 2022 Chevrolet Equinox SUV and a 2023 GMC Savana 2500 Van, at a total combined cost of $63,732, was ratified at the November 2022 School Board meeting. The purchase of 2 new Chevrolet Silverado trucks, at a total cost of $104,613, was ratified at the February 2023 School Board meeting.
The District has located a 2023 Chevrolet Traverse for Child Nutrition. The quote from Moritz offered the lowest price at $33,386. As required, this purchase has been submitted to, and approved by, the Texas Department of Agriculture. The total combined cost for the new Chevrolet Traverse, and the previously ratified vehicles, is $201,731.

F.6. Consider Approval of Instructional Materials Allotment and TEKS Certification for 2023-2024
Description:
Districts and open-enrollment charter schools are required to certify annually to the State Board of Education and the Commissioner that all instructional materials purchased or used by the District will assist in satisfying performance standards; will cover all elements of the essential knowledge and skills in required curriculum, other than physical education for each subject/grade level and will provide TEA with all enumerated information regarding instructional materials.

F.7. Consider Approval of Audit Firm to Conduct the Annual Audit for 2022-2023
Description:
The District received an engagement letter from Pattillo, Brown & Hill, LLP for the financial audit year ending June 30, 2023. The firm is based in Waco, Texas. They have many years in school district auditing. The cost of the audit will not exceed $38,500. The District has been satisfied with their services.

Description:
In an effort to send a unified message to lawmakers that trustees stand against privatizing our public schools and sending public dollars to private schools, the Board is requested to consider a resolution opposing vouchers.

F.10. Consider Approval of Vendor for Server Hardware and Software Support
Description:
The district requested quotes to renew our SMARTnet Agreement. SMARTnet provides hardware and software support for the district’s servers. The quote from SHI provides the best value for the district.
The total cost is $61,692.81 and is included in the current budget. |

G.1. Consider Approval of Vendor for New Playground Equipment and Turf
Description:
The District issued RFP #2223-004 for new playground equipment and turf. New playgrounds will be constructed at Liberty, North, West, and Blue Haze Elementary, and the new Fine Arts Academy site.
Playground Solutions of Texas submitted the proposal that provides the best value for the District. The cost for the installation of the new playground equipment and turf is $2,163,839. We are still receiving quotes for the demolition and removal of the old playground equipment. If a vendor other than Playground Solutions of Texas, Inc. is contracted for the demolition, that vendor will be ratified at a future board meeting. The cost for this will not exceed $62,377.30. The total cost for the demolition and removal of the old playground equipment and the installation of new playground equipment and turf will not exceed $2,226,216.30 and this expense will be paid from bond proceeds.

G.2. Consider Approval of Vendor for Purchase and Install of Vape Sensors
Description:
The district requested quotes for the purchase and install of Vape Sensors. These sensors are used to detect a variety of environmental data including smoke, air quality, and fumes from vaping. These sensors will be installed in applicable areas at Brewer High School and Brewer Middle School. SHI provides the best value for the district for the purchase of the Vape Sensors, monitoring, and licensing, and ACI Advanced Connections, Inc. provides the best value for the district for the installation of the cabling required for the Vape Sensors.
The cost for the equipment and licensing from SHI is $46,117 and the cost for the cabling installation by ACI Advanced Connections, Inc. is $9,788. The total combined cost is $55,905. |
G.3. Consider Approval of Guaranteed Maximum Price (GMP) for the Brewer High School Additions and Renovations Bond Project
Description:
On April 4, 2023, bids were received for the Brewer High School Additions and Renovations Project. This project will expand and renovate the competition gymnasium to increase the seating capacity, a new band hall addition will be built, and the floor in the dance gymnasium will be replaced.
